Customer Service Training ideas and Activities: 4 Fun Ideas You Can Use Time and Time Again

Managers and team members of customer service teams are always looking for something new or some idea that can be used as part of a customer service training day, particularly in terms of activities that the team can carry out.

More and more customer service training activities are becoming important not only as a learning activity but also from a motivational point of view for teams. It is important that any customer focus training activities you organise should include two main factors, these are as follows:

  1. There needs to be some learning with the activity, or it needs to be linked to some form of learning that is relevant to the training or the business
  2. It needs to be fun wherever possible, however the fun should never be the priority, the learning needs to be the priority.

All too many trainers and managers create customer service training activities that may be fun and good for morale but have no learning whatsoever attached to them. It can be so frustrating for certain team members to see these silly icebreakers that have no relevance to the training, for your own sake when looking at customer service training activities make sure they are relevant

People including trainers will often say things like, yes that’s fine but how do we make sure they are relevant?

You need to try and look at skills necessary for customer service and then create activities around the skill, example of some typical skills needed for customer service staff are listed below:

  1. Questioning
  2. Listening
  3. Verbal communication
  4. Diffusing angry customers

The list could be endless depending on the detail you go into, but you can then look and say how can I create an activity around some of these things, I have set out some examples below:

  • Questioning

In order to establish a customer’s needs we need to get good at asking relevant questions, you can create some customer experience training ideas around this. Most customer service agents would benefit from an activity that involved different questioning techniques.

For example you can put people into groups maybe 3 per group then give someone a scenario that they are a specific item, a little like years ago when people played animal, vegetable, mineral, but make this item hard to guess. The second person has to ask questions but the person can only answer with a yes or no or a one word answer

This means the person asking the questions will have to ask closed questions and will find it difficult to get the answer. Next you can do a few minute session on how difficult it was to get the information using closed questions?

This can be followed with a trainer session on what are open questions and then allow the person asking the question to use open questions and the person answering the questions can answer in any way they wish.

They can then see just how quick they will be able to gather the information that they need if they ask the correct open questions, the third person in the group will be the observer and give feedback and obviously the roles within the groups can be rotated.

Not only do customer service training activities work like this for customer service agents, but some of these type of customer focus training activities can also be used for other skills, for example communication could be another skill you could use for interviewing techniques for other areas of the business.

Generally it is easy to set up and it works like a dream and if you want you can even use a version of the child game headbanz or get them to use yellow stickies or anything to bring more fun into the learning.

  • Listening

This goes back to the old Chinese whispers which most people would have played as children, it is not quite the same as there is no whispering, so what do you do?

If you have a group of 10 people split the group into 2 groups of 5, once you have done this toss a coin to see who is group 1 and who is group 2.

Ask group 1 to remain in the room while you send group 2 to wait outside the room, you then get group 1 to write out a script of a sentence (you will already have this prepared) so you read it to them. By getting them to write it down when you read it this will create more fun and atmosphere as they are all involved and can then follow what happens next.

ALWAYS make the sentence relevant to their job, for example if you are training with a customer service team who are part of an accounts section make it about accounts, if you are managing a team of customer service people in logistics make it about an order that needs checking etc, so the more relevant you can make it to the job the better.

Set out below is the kind of message that could be used if it were an accounts team so as you get an idea about tailoring the message to the team you are working with.

“please stop the following cheque to John Peters, number 121 dated the 10th of May for £320 and tell Paul Jones when you have done it”

This type of customer service training activity is called “passing the message on’’ so the idea is to start the activity,  you ask the team in the room to pick one person from the other group to come in first. This in itself is fun because it can become quite competitive particularly if both teams work for the same company and know each other well

You then call the first individual who was picked by the team to come into the room, again this creates another layer of curiosity by the people left outside the door. You explain to the person you have just brought into the room that they are going to hear a message and they must listen carefully and then pass the message on to the next member of their team, who you will bring in one at a time. You then ask one person from the team in the room to read the message and the others have the message in front of them so they can follow as each individual comes in.

You can imagine by the end of the 5th person in most cases the message is totally wrong and depending on how bad the message has been construed it can be very funny.  

From this you can then do a session on listening skills, why did that not work, what could they have done in real life, importance of being able to communicate the message back through clarifying verifying summarising, importance of taking notes and many more.

This is simple to set up and can be very funny but it can also help in terms of giving the opportunity to discuss listening skills and what we need to do to listen better, it also helps to identify some pitfalls to avoid when listening. Finally it will give you plenty of things to discuss in terms of what we can do to improve, please note you will need a minimum of 5 people passing the message or it will die a death, more than 5 is fine but obviously you don’t want too many

  • Word puzzles

You can get word puzzles free of charge online and they are a fantastic way of creating customer focus training activities. If you just google wordsearch free online you will find something that should help you.

How do you use them and how can they help in terms of customer service training activities?

Just pick a certain amount of customer focus words that people may use in customer service training, an example would be:

  • Responsive
  • Listening
  • Questioning
  • Empathy 

The list within reason can be as long as you want it to be, you then get a wordsearch made up online and put people into groups.  Ask them to find any customer service type words in the wordsearch (you can tell them the words or not tell them!) Give them a piece of flipchart paper to write their answers.

When the group find the word they have to write it down on the flip chart and then also write down what does that mean to them and their business etc

Again the scenario has to be set up in advance and needs to be relevant to your business, for example if you are looking for some customer service training activities for your customer service front line reception teams who work in hotels you could set up a role play about diffusing angry challenging customers.

There is an example below of a typical scenario:

Customer

You are a loyal customer of this hotel group and stay with this hotel at least 12 times per year when you are visiting clients out of your home area. You do not have a loyalty card as you have enough paperwork to deal with and haven’t time to spend filling out forms as well as this in the past you have filled out loyalty cards for other type businesses and then had your email inbox crammed with useless information about offers you will probably never take up, so in a nutshell you are not a lover of this type of thing.

Anyway you had contacted the hotel by email to book the room, in the email you stated your expected time of arrival was 6 pm, unfortunately your flight was delayed due to bad weather and there was no taxis in the taxi rank when you came out of the airport so you had to get a local bus to the hotel.

You have an extremely important meeting at 7.30 am in the hotel tomorrow morning with a client, the client made this booking for the 7.30 meeting not you and the clients office is only round the corner from the hotel.

By the time you get to the hotel it is now 9.15pm you are freezing cold frustrated and annoyed before you even walk in the door as your travel plans did not go according to the way you had hoped, all you want to do is get into your room have a hot shower, grab a quick bite to eat and get to sleep ready for the early morning meeting.

You arrive at the reception desk to find your room is gone as you did not arrive at the planned time and the hotel policy is if  you are 90 minutes or more late and have not contacted the hotel to inform them, they have the right to sell your room.

You are absolutely fuming, your loyalty has not been taken into account, you have been there for years with this group, never before has this happened, it is not acceptable and you are not going to accept it, it is a disgrace!

Receptionist

You have to try and diffuse the situation, it is not easy because there is not a room left on the hotel, your sister hotel has one room left, that is 30 miles away. Your rules clearly state that you can let the room go etc in fact in the email confirmation of the booking it would have said that in small print, although he may say he let you know he was going to be late, he has no proof of this and you also have no record of this.

You need to listen, show empathy and try to diffuse the situation and offer solutions, you need to try and remain calm and not let behaviour breed behaviour.

By the way, if this customer had a loyalty card this would not have happened as loyalty gold card members rooms are kept for 4 hours before being sold on.

Notes

These type of role plays are always good fun and again if you get the rest of the group involved in feedback it can be a great learning experience, follow it through with what else could the receptionist have done or what could she have done differently

The role play could also be filmed and watched back giving feedback relating to body language as well as what was said.  Please note all role plays have to be carried out in a safe non-threatening environment and please remember that when giving feedback concentrate on the things that were done well as well as the areas that need to be worked on

In conclusion it should be said that people do enjoy customer service training activities and other types of activities as part of learning but again the emphasis has to be on making it relevant to their job role, with a fun element as opposed to lots of fun but no relevance—Have fun and learn.
